Job Description
Position Summary
The Front Office Coordinator acts as the first point of contact for Island Doctors. The Front Office Coordinator attends to patients on the phone and in person, coordinates and organizes appointments and documentation to facilitate the smooth running of the healthcare environment and support delivery of quality patient care.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Greet patients and visitors, in person or on the telephone in a professional manner
- Assist patients with questions or refer questions to appropriate person in the office.
- Answer incoming calls and triage calls appropriately to clinical staff and other key personnel as necessary.
- Optimize patients’ satisfaction, provider communication, and treatment chair utilization by scheduling appointments in person or by telephone. Confirm appointments the day prior.
- Check office email frequently for receipt of New Patient Referrals, faxes and voicemails.
- Ensure faxes are placed on the patient chart for provider review in a timely manner. File charts alphabetically by the end of the day.
- Create new patient charts by collecting completed new patient forms from patients, along with receiving referrals from Island Doctors PCP locations. Update established patient charts by verifying the information on file is current.
- Verify patient insurance eligibility and benefits using online tools provided by the payors.
- Record daily Provider totals- based on number of patients treated in one day.
- Printing treatment flow sheets daily to be filed in patient charts.
- Perform other duties as assigned.
- Keep management informed of all Front Office supply needs to ensure timely orders.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High school diploma or equivalent required
- 1+ years of medical office experience required
- Strong customer service skills
- Excellent organizational and time management skills
- Strong interpersonal communication skills
- Ability to work independently
- Dedication to maintaining confidentiality of all patient records
- Cash management skills
- Basic computer skills required but not limited to, creating and saving files, spreadsheets, presentations, email, and other forms of basic software.
